Privacy Policy

Subpix is the data controller for the personal data processed through the Service. For any privacy-related request, contact us at privacy@subpix.app.

We collect only what we need to run the Service:

• Account data: your email address, a hashed password, and an optional display name. If you sign in with Google, we receive your name and email from your Google profile.
• Content you submit: the video/audio URLs you paste, files you upload, and the transcripts and subtitle files generated from them.
• Payment data: when you buy credits, payment is processed by Stripe. We do not see or store your card number — we keep only the purchase record (package, amount, date, Stripe identifiers).
• Usage & analytics data: pages visited, key actions (signup, job created, purchase), device/browser type, and an approximate location derived from your IP address.
• Technical data: IP address and server logs, used for security and to operate the Service.

• To provide the Service (create your account, process jobs, deliver files) — legal basis: performance of a contract.
• To process payments and keep accounting records — legal basis: contract and legal obligation.
• To send transactional emails (verification, password reset, job completion) — legal basis: contract.
• To improve and secure the Service through analytics and abuse prevention — legal basis: our legitimate interest in understanding and protecting the Service.

We rely on trusted providers to deliver the Service. Each only processes the data needed for its function:

• Stripe — payment processing.
• OpenAI and Deepgram — audio transcription (speech-to-text).
• Google Cloud Translation and DeepL — subtitle translation.
• Google — optional “Sign in with Google” authentication.
• Cloudflare R2 — temporary storage of uploads and generated subtitle files.
• Resend — sending transactional emails.
• PostHog (EU) — privacy-friendly, cookieless product analytics.
• Vercel and our EU-based server infrastructure — hosting of the website and application.

Some of these providers may process data outside the European Economic Area. Where that happens, transfers are covered by appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

• Generated subtitle files are deleted automatically 24 hours after a job completes.
• Account data and job history are kept while your account is active, and deleted when you delete your account.
• Payment and invoice records are retained as required by tax and accounting law.
• Analytics data is retained according to our analytics provider’s standard retention period.

We do not use advertising or third-party marketing cookies. To keep you signed in we store authentication tokens in your browser’s local storage. Our analytics (PostHog) runs in a cookieless mode using local storage, and creates a profile only once you are signed in. These technologies are strictly necessary or based on our legitimate interest in measuring and improving the Service.

Under the GDPR you have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• have your data deleted (you can delete your account at any time from your account settings);
• restrict or object to certain processing;
• receive your data in a portable format;
• withdraw any consent you have given.

To exercise these rights, email privacy@subpix.app. You also have the right to lodge a complaint with your local data protection authority (in Italy, the Garante per la protezione dei dati personali).

Passwords are stored hashed, traffic is encrypted in transit (HTTPS), and access to data is restricted. No method of transmission or storage is completely secure, but we take reasonable measures to protect your data.

The Service is not directed to children under 16, and we do not knowingly collect their personal data.

We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, for significant changes, notify you by email or in the app.
